SMARTER: increased the number of interviews by 44% with a chatbot

About the client

SMARTER provides employees of the call center and services for automating the work of operators. The mass monthly hiring of 150 call center operators on remote and office work is distributed to 8 cities in Russia and other CIS countries: Kazakhstan, Uzbekistan, Moldova.

Initial situation

Before the automation, managers processed all applications manually. Then they used the services of a foreign supplier. After its exit from the Russian market, SMARTER started looking for a domestic solution. It was important to automate mass hiring to process candidates faster and not lose them along the way from an application to training.

«We have a large stream of candidates for remote vacancies, more than on offline platforms. Therefore, without automation, one recruiter had to conduct up to 10 interviews per day. When conducting group interviews, the number of candidates could reach 200 people. And in a month, SMARTER receives about 5,000 incoming applications.»

Task

  • Increase the number of interviews with candidates;
  • Reduce the time of feedback to a candidate after an application;
  • Develop the skills and pool of HR managers' duties.

Solution

In two months, we connected SMARTER to Flomni. We started with a gradual introduction of the bot to different candidate sources — working websites, social networks, and then — advertising activities. As communication channels, we used: Avito, WhatsApp, VK, Telegram, SMS, a widget on the website, email.

For outbound search, SMARTER has installed a Flomni browser extension that works on any website. It automatically reads the candidate's contact details and allows you to send a message-invitation to the vacancy with one click to the phone number.

For processing incoming applications, we configured integrations with hh.ru Avito. Thanks to the two-way integration with hh.ru, when a candidate applies, they automatically receive a message with a questionnaire in WhatsApp, and the status on hh.ru changes to «In work». When integrating with Avito, the bot starts the questionnaire directly on the site, without redirecting to a third-party source. The integration via API allows you to transfer data about successful candidates who transition to the training or interview stage directly to Flomni. There, employees see the time and date of the interview or the start of training.

To attract additional traffic, SMARTER place links to the widget with channels for transferring to the bot in social networks and Telegram, and also use them in advertising. All links are «hardcoded» with a source, which allows you to track the effectiveness of channels and build a hiring funnel.

Most candidates, who fall into the bot, even do not notice that they are communicating with a virtual assistant, not a real person. The primary questionnaire takes 5-10 minutes, and the applicant stream is now four times larger. The manager physically could not process additional candidates, and Flomni copes with this very well.

If before there were 5,000 incoming applications per month, then with the connection of Flomni, their number increased to 20,000. The goal of scaling hiring was achieved.

Training is an obligatory stage for online vacancies. If a candidate successfully passes the primary questionnaire, the bot automatically transfers them to training. Candidates who are selected for an offline position after the questionnaire pass the interview stage.

Logic of the SMARTER bot:

  1. Starting the bot in one of the sources — transition from an invitation to a response on hh.ru or Avito, transition from an invitation through cold search, through social networks or advertising.
  2. When a candidate goes through a link, an application appears: name, date of birth, citizenship, phone number, questions about work experience.
  3. If a candidate is suitable, they are invited to an interview (for offline vacancies) or transferred to the training stage (for online vacancies).
  4. If a candidate is not suitable, they receive an automatic rejection.
  5. For those candidates who were invited to the next stage, the reminder system is in effect.

Reminders in the bot:

About training

  • Email on the day of the recording;
  • One day before the start of training;
  • Two hours before;
  • 10 minutes before;

Also, one hour before the start of training, the candidate receives an SMS or message in WhatsApp.

About the interview

  • Message in a messenger or SMS one day before;
  • One hour before the interview.

The average indicator in the bot is 11,000 chats per month.

Future plans:

  • Connect analytics to download dialogues with details of candidate responses. This will help analyze each stage, improve and refine the initial questionnaire.
  • Integrate with all candidate search sources to save dialogues and statistics by channels, and not send candidates to a third-party source. In case of refusal or leaving the questionnaire, SMARTER will be able to catch up with such a candidate.
  • Consider the options for internal HR automation to adopt best practices and, if necessary, connect additional functions inside the company.
